Continuous Stewardship for a SaaS Business Systems Stack

An ongoing managed services relationship spanning finance, sales, people operations, integrations, analytics, and connected business systems.

Operating the Stack as an Ongoing Responsibility

The engagement is an ongoing operating relationship. It covers the systems that connect sales with finance.

The relationship changed from reactive platform support to shared application stewardship. Exafort took responsibility for integration reliability and recurring platform enhancement.

The work does not follow a rollout with an end date. Platform reviews, incident handling, release management, and process refinement continue as operating responsibilities.

Finance uses NetSuite ERP. Sales uses Salesforce Sales Cloud and Salesforce CPQ. People operations use Workday HCM and Workday Payroll.

    Where Continuous Ownership Was Needed

The company had selected best-of-breed business platforms. The operating model had not established consistent ownership across them.

Revenue schedules were maintained in spreadsheets. Quote-to-cash also depended on manual handoffs between Salesforce CPQ and NetSuite.

Boomi flows failed on complex deal structures. Missing retry and error-handling patterns forced manual data entry after failures.

Workday configurations varied by country. Benefits and compliance rules were tracked locally, while leadership reporting depended on exported CSV files.

    • Stripe synchronization supported payment and cash application processes.
    • Avalara and Jira were part of the connected application landscape.
    • Country operations included the United States, United Kingdom, Germany, India, and Australia.
    • Board reporting lacked a governed business intelligence layer.

The Managed Application and Integration Model

Exafort automated quote-to-cash from Salesforce CPQ through Boomi into NetSuite. The flow continued through sales order creation, billing, and revenue recognition.

NetSuite automated ASC 606 revenue schedules replaced spreadsheet tracking. The design covered ramped and usage-based deal structures.

Critical Boomi integrations were rebuilt with idempotent processing and dead-letter queues. Automatic retry and operational monitoring were added to the same flows.

A monitoring dashboard sent alerts through Slack. PagerDuty provided the escalation path for integration incidents.

Workday configurations used compliance-approved country templates. Benefits enrollment and payroll synchronization followed the applicable local rules.

Power BI supplied executive and board reporting. Its views covered recurring revenue, retention, unit economics, and headcount by geography.

The managed services relationship also includes enhancement work and business reviews. Capacity planning and continuous process improvement remain part of the operating cadence.

    • Self-service deal desk guardrails support standard deal approvals.
    • Integration load testing aligns with sales-cycle peaks.
    • Release management coordinates changes across the application stack.
